In order for the Toast integration to work properly, you must first map your Toast menu to your Brandibble menu. This is what allows us to send the correct menu items and modifiers to Toast when a customer places an order on your Brandibble site.
When you're first mapping a new Toast location to a Brandibble location, the first step is to import your menu. After the initial import, you'll just be updating your Brandibble menu from your Toast menu on a nightly or on-demand basis.
Please follow the steps below and reach out to Brandibble Support to assist with the import process to make sure everything goes smoothly.
1. Review your Toast menu in Brandibble and hide items in Toast (if needed)
It's very important that you review your Toast menu and make sure nothing needs to be hidden in Toast before you do the initial import. Otherwise you'll end up with a bunch of items and modifiers that need to be hidden in Brandibble, which is doable, but makes things really confusing over time.
We would strongly advise you to do all the hiding of items in Toast, and then use Brandibble to "decorate" all valid items with additional information (descriptions, images, tags, allergens, etc.). Two levels of hiding (some items in Toast, some in Brandibble) can make menu management significantly more challenging over time - it's best to start with a nice, clean menu in Brandibble.
To review your Toast menu in Brandibble, follow these steps:
Go to Integrations > Toast POS
Click on View Menu
Select each location from the dropdown menu and click on View Menu to view the menus individually
If you need help hiding things in Toast so they don't show up on the View Menu page, please reach out to the Toast support team. You can also find more information in this article: Managing your menu with our Toast integration.
Important Note: once you make changes in Toast, these changes won't be reflected on Brandibble until the following day. Toast publishes these updates to your Amazon S3 bucket at about 4:00am local time, so we don't pull in updates until 5:30am.
2. Import your Toast menu for the first time
Once you've completed the menu review, please reach out to our support team to give you a hand and help you import your menu!
This is the best way to make sure things go smoothly. Here are the steps we'll walk your through:
A. Make sure your Brandibble location is configured to use your Toast Menu
This is really important. You may have multiple menus in Brandibble, and it's critical that your Brandibble location is associated with the correct Toast menu. You can find the Menu field on each location's Basic Info page in Brandibble.
B. Import your Toast menu
Go to Integrations > Toast POS
Click on Update Menus
Check the box next to the relevant location and click the Update Menus button
The import process can take anywhere from 5-60 seconds depending on how complex your Toast menu is. Please be patient and do not refresh the page while it's working!
3. Map your Dining Options and Payment Types
When we send an order to Toast, we need to specify both a Dining Option and a Payment Type. If we don't do this, the order will be rejected.
Some restaurants like to set up dedicated dining options and payment types for Brandibble in Toast, but it's up to you as to how you want to manage this.
Please see this post for more information: Mapping dining options and payment types.
4. Map your Surcharges and Discounts (optional)
If you're using promo codes, loyalty programs, or surcharges in Brandibble, then these items will also need to be mapped to their corresponding items in Toast.
Please see this post for how to go about doing that: Mapping discounts and surcharges.
5. Turn menu syncing on or off
If you'd like your Toast menu to be synced automatically overnight, you can set this up by following the steps below:
Go to Locations and select the location you'd like to edit
Click on Integrations and under POS Integration, select Yes for Automatically Sync Menu Each Night
Click on Update POS Integration
Keep in mind that if you turn this setting on, menus will be synced nightly at 5:30am. Menu changes aren't made available to us by Toast until 4:00am each day so if you are updating your menu today, the earliest those changes would be available on your site would be tomorrow. Here's more information about manually syncing your menus: How Toast menu syncing works.
6. Add descriptions, images, tags, allergens, etc.
Once your menu has been imported, you're ready to start adding item descriptions, images, tags, and allergens in Brandibble.
Additionally, you can reorder categories, menu items, and modifiers if you'd like things to be displayed differently for your customers. More information on what you can and can't do with Toast menu management here: Managing your menu with our Toast integration.
7. Regenerate your menus
When you're done making changes, don't forget to regenerate your menus. Menu regeneration can be thought of as "publishing" changes to your customer-facing site. This is how you do it:
Go to Menus > Regenerate
Select the menus you'd like to regenerate and click on Update Menus
8. Review the customer-facing site
Whenever you make changes, it's always a good idea to review this on the customer-facing site to make sure things are showing up the way you want them to.
